Welcome - The meeting was called to order by Allyson Small at 9:03 AM. Julie Holt motioned to approve the meeting minutes from August, and Beth Dean seconded the motion. All were in favor, and the motion carried.
President’s Report - Allyson Small has no specific report, but a lot to discuss in new business.
Treasurer’s Report - Julie Holt presented the financial statement from August. Beth Dean motioned to approve the statement, and Amy Martin seconded the motion. All were in favor, and the motion carried.
Principle/Administrator’s Report - Dr. Finch reports having a problem sending school-wide texts. A work ticket has been opened. She has Parent University in the works for next week. A few parents have signed up. We had picture day this week. We are using a new company and picture day seemed to run smoothly. There will be a link to view and order pictures with a much faster turnaround time. Purchasing pictures and yearbooks are great fundraising opportunities for the school. We have already pre-sold a lot of yearbooks this year. The parent open house was a couple weeks ago. She feels that next year it will be best to have the parent open house later in the evening.
Committee Reports
- VP of Events - Katie Hundley has the first dance at HMS on September 26th. Gia has the link to purchase tickets in the weekly email. There will be a sign up genius to volunteer for setup, supervise, and cleanup.
- Membership - Crystal reports 125 students/families and 45 staff members have invested. We are in line with last year’s numbers. Those who invested should be getting their school magnets. The first round of magnets have gone out and more have been ordered.
- Hospitality - Beth Dean has Martin’s BBQ next week to feed the teachers and staff. Beth has given out a few birthday drinks and treats for staff birthdays. It has been well received.
- Corporate Sponsors - Amy Martin provided an updated list of companies she is working with as sponsors. She has collected $17,000 cash. There are trades added to equal $23,000+. She also reported that the outdoor equipment building is moving forward thanks to our sponsors!
- Communications - Gia reports that sponsor banners will be arriving next week. She can post any information on social media if anyone has something to share.
- Front Office/Badges - Charlena has the badge making dates posted in the HMS weekly newsletter. The next badge making dates are October 17th at 8am, and November 14th at 10AM. There are no badge making dates in December or May.
- Copy Room - Jessica Hooper has nothing new to report. She previously reported that the copy room signup link is on the HMS PTO Facebook page.
- Spiritwear/School Supplies - Fall Spirit wear is here. Orders will go home with the students today. We made $1500.33! He sent the check along with the merchandise this week. Chompshop has been a great company to work with. Allyson has the school supplies contract to sign. If she signs the contract before the early deadline, HMS would be in a drawing to receive free supplies. She says that the PTO providing school supply boxes is only a convenience and not a true fundraiser. There is minimal profit.
- Beautification - Katherine has another car rider sign coming stating not to block the second front lane until 2:15pm. She is moving forward with painting the inside of the school halls and entries. “One team, One goal, No limits” will be painted at the entrance/exit. She found an artist/painter that is going to do all the painting for $2500! She is going to update the wall of the gym, also. The work will get done over fall break. She also ordered table covers for the gym entry area to better welcome visitors to sporting events. She has a master gardener friend who is going to maintain the school landscaping beds and the courtyard area. Mr. Stolle has an idea with the student council to use river rocks and have students paint them with positive messages.
- HMS Athletics - The fall sports schedule is on the calendar for concession sales. There is a signup genius for those who can volunteer.
- Concessions - Amanda reports that help is needed for the Wednesday afternoon concessions. There is a sign up sheet for concessions to all the coaches and related arts groups.
- Lost and Found - Nothing to report.
New Business
- Allyson suggested offering another reward to help motivate more families and staff to Invest in HMS. Beth Dean saw an idea about an inflatable mattress relay race. We are thinking about needing 10 volunteers to compete. When we reach whatever goal we set, this would be the school-wide reward.
- Dana Finch is trying to get new carpet in the band room. She has submitted a request to the district. She has also requested a fence around the new practice field. The district finally fulfilled her request for more parking as you may have noticed the additional parking spots in front of the school!
- Kelsey Jones is asking for new uniforms for the cheerleaders to add to their future rotation. She is asking for approximately $1500-$2000. Their new uniforms will cost approximately $5300, and they have been fundraising on their own. The uniforms that they will retire have been in rotation since 2014! Christine Johnson motioned to fund new cheer uniforms and Amanda Abele seconded. All were in favor, and the motion carried.
- Allyson reminds us, as a board, if any of us see people reporting issues with the school or staff members, she would like it to be reported to the HMS administration and/or staff. These things should not be posted on social media.
