PTO Meeting, July 25th, 2025 in the HMS Teacher Lounge

Welcome - The meeting was called to order by Allyson Small at 9:04 AM. Julie Holt motioned to
approve the minutes, and Amy Martin seconded the motion. All were in favor, and the motion
carried.

 

President’s Report - Allyson Small welcomed all the previous and new board members. She is
ready to have the PTO board help at the HMS back to school night. There will be a table with
information and a slide show. We will try to get more families signed up for Invest in HMS. She
mentioned having a reward for the teacher and class with the most kids signed up.

 

Treasurer’s Report - Julie Holt presented the financial statement from the end of the previous
school year and the budget for this school year. Amy Martin motioned to approve the budget,
and Danielle Freeman seconded the motion. All were in favor, and the motion carried.

 

Principle/Administrator’s Report - Dan Hollandsworth gave a recap regarding the PTO
donation of $11,000 to help the school purchase a new shed for outdoor equipment. The plans
were moving along, but there was a huge cost snag undisclosed originally. Then, Dan found
another path for the original budgeted amount. Everything was great until the district
maintenance manager would not approve the building request. It requires the building to have a
set of plans that are signed off by an engineer. Dan is still involved in this, and is working with
the school district and building company.

 

Committee Reports
● VP of Events - Katie Hundley sent a report since she was absent. She has three dance
dates that have been approved for this school year; sept 26th, feb 6th, and May 9th. She
is going to have a new theme for 2 years and she is dropping the Luau. That way, kids
will have more variety. She’s thinking diamonds and denim or boots and bling! The DJ
from last year is available for all 3 dates. He will have a photobooth for the first and last
dance. The glow dance will not have the DJ’s photobooth.
● Membership - Crystal is monitoring the Invest in HMS PTO fundraiser.
● Hospitality - Beth Dean is providing breakfast on Monday, July 28th. It’s the teacher’s
first day back to school. She wants volunteers that morning at 7:30am to help set up.

There are a lot of repeat businesses that are willing to donate and/or trade goods for this
school year. She has a draft on her hospitality plans, and she will finalize the dates soon.
● Corporate Sponsors - Amy Martin provided a list of companies who have donated
and/or plan to donate. She has confirmed $12,600 total received to this point. She is still
following up with her contacts.
● Communications - Gia has taken over communications. She is putting info in the news
letter. She will make Facebook posts about all back to school information.
● Front Office/Badges - Charlena sent in a report that she has the badge making dates in
mind. She will provide more information at the next meeting.
● Copy Room - Nothing to report.
● Spiritwear/School Supplies - Chris from Chompshop is taking over our spirit wear
business. It will not be a rolling sale throughout the year. Spirit wear will only be offered
til August 18th, around Christmas, and maybe once in the spring. Allyson reports that the
amount of school supply kits sold were approximately the same amount as last year.
They are being delivered to each family and not the school this year.
● Beautification - Katherine ordered all new road signage for the campus. She is planning
a campus work day for August 2nd. She has been planning to update the hallway art to
flow from the cafeteria wall art that was done last year. Her quote was higher than she
had hoped. Dr. Finch suggested a school moralish, and she has provided a more
reasonable cost estimate. That work will be done during Thanksgiving Break.
● HMS Athletics - The sports schedule is on the calendar for concession sales.
● Concessions - Jackie and Amanda are going to check the concession area soon to
prepare for football season. Concession sales on Wednesday for late busses will change
this year. The district is now limited to 20 days per year that they can offer foods outside
of the recommended daily amounts.
● Lost and Found - Nothing to report.
