PTO Meeting, August 8th, 2025 at 9AM in the HMS Library

Welcome - The meeting was called to order by Allyson Small at 9:03 AM. Julie Holt motioned to approve the meeting minutes from July, and Beth Dean seconded the motion. All were in favor, and the motion carried. 

President’s Report - Allyson Small thanked everyone for coming to the Back to School nights and helping out. The PTO purchased Tshirts for the staff in honor of the 25th anniversary of HMS. Allyson has a list of PTO members that need to renew their tier 3 status and fill out the volunteer paperwork. Paperwork needs to be completed for each school that they volunteer. We have 856 students enrolled at HMS as of today! 

Treasurer’s Report - Julie Holt presented the financial statement from July. Amy Martin motioned to approve the statement, and Christine Johnson seconded the motion. All were in favor, and the motion carried. 

Principle/Administrator’s Report - Dr. Finch said the back to school nights went well. She has scheduled the HMS Parent Open House for Tuesday, August 19th. This will be a quick walk thru of their students schedule. Then, there will be Parent University on Tuesday, September 16th. The leadership team will run sessions of schoology, skyward, communication, discipline,and go over any programs/apps that students will be familiar with. Parents will need to bring their students chromebook, and they will have to RSVP on signup genius. School donations at the back to school night totaled $150. Dr. Finch will continue to mention the school supply donation/fee since this is one of the schools avenues for added income to cover fees associated with learning programs/apps for each student. 

Committee Reports 

  • VP of Events - Katie Hundley has nothing new to report. She will post a signup genius closer to the first dance. The first dance will be September 26th. 
  • Membership - Crystal is monitoring the Invest in HMS PTO fundraiser. As of today, there are 57 total enrolled in Invest in HMS. 49 are students, and 8 are teachers. Beth Dean is sending out a reminder to the faculty and offering to help them enroll in person.
  • Hospitality - Beth Dean has updated all approved teacher appreciation dates. Culvers custard and sonic drinks will be provided to the teachers in September. Firebirds Wood Fired Grill will be for October’s Teacher Appreciation. White Shepard Coffee will provide Teacher Appreciation for November. 
  • Corporate Sponsors - Amy Martin provided an updated list of companies she is working with as sponsors. She has collected $14,500 in donations and $5,000 in trade value for a grand total of $19,500! 
  • Communications - Gia gave an update to Allyson stating… 
  • Front Office/Badges - Charlena has the badge making dates posted in the HMS weekly newsletter. The next badge making dates are September 12th at 10AM, October 17th at 8am, and November 14th at 10AM. There are no badge making dates in December or May. 
  • Copy Room - Jessica Hooper posted the copy room signup link on the HMS PTO Facebook page. 
  • Spiritwear/School Supplies - Fall Spirit wear sales end August 18th. Orders are a little low. If we can sell a few more items, the price point changes, and the PTO would receive more profit. 
  • Beautification - Katherine gave an update to Allyson stating the campus cleanup was a huge success. Thank you to the dads who brought the power tools. The volleyball team showed up big, thanks to the coach for challenging the team to participate! Clean up was completed in 2 hours! She has a master gardener, Lisa Forsythe, who has volunteered to maintain flower beds in the front of the school. 
  • HMS Athletics - The fall sports schedule is on the calendar for concession sales. There is a signup genius for those who can volunteer. 
  • Concessions - Amanda has sent the sign up sheets for concessions to all the coaches and related arts groups. There are also 14 dates that the PTO has approval from the district to sell concessions for late buses on Wednesday’s this semester. ● Lost and Found - Nothing to report. 

New Business 

  • Mrs. Winters is asking for some funds to replace a soundboard. She will elaborate on the amount she is requesting after she collects more information. 

Upcoming Dates 

  • August 19th - Parent Open House 4:30-6:30PM 
  • September 1st - No school/Labor Day 
  • September 12th @ 9AM - Next PTO meeting and badge making date ● September 26th - School Dance 6-8PM
