PTO Meeting, April 11th, 2025 in the HMS Teacher’s Lounge at 9AM

Welcome - The meeting was called to order by Allyson Small at 9:00am. Kristi Cobb motioned to approve the March meeting minutes. Amy Martin seconded, and the motion carried.

 

President’s Report - Allyson says Brian Myers is doing the 8th Grade yard signs at a great cost. They will arrive on 4/25 and be distributed on 4/28th. The 8th Grade shirts were supposed to be delivered today, but their printer broke. There will be a small delay. The spring custard party will be during flight time May 2nd, Friday. PTO will do custard and popsicles. We will need 6 volunteers to help at 1pm. TCAP madness ended. PTO is rewarding teachers with Sonic drinks for 1st place and 2nd place gets popsicles. There is a new food rule for next school year…food from outside of the FDA recommended guidelines can only be available at the school up to 20 days during the school year. This may affect the concession items and teacher appreciation foods. PTO donated leftover chips and snacks to Sarah Fischer to use as STEM judge gifts. 

We will be voting on our 2025-2026 HMS PTO board at the next meeting. Amanda is able to run as the assistant treasurer and athletics chair. Susan Lamm has a background in graphic design, and she is able to help with making flyers and communication next year. Lost and found coordinator candidate is Zara and others have reached out for that position. Mandy will be running for the hospitality co-chair.

 

Treasurer’s Report - Kristi Cobb discussed the financial statement from March 2025. Beth Dean motioned to approve the budget, and Heather McMann seconded the motion. All were in favor, and the motion carried. 

 

Principle/Administrator’s Report - Testing is ongoing today. There is no administrator update today.

 

Committee Reports  

    • VP of Events - Katie reports 8th Grade formal is Saturday. The 8th graders voted for the theme of “Under the Stars.” There will be a signup genius with shifts for those volunteering to help. Decorating can be done Friday and Saturday. We will have the same DJ’s and he will be providing his photo booth again.
    • Membership - Crystal has nothing to report.
    • Hospitality - Beth Dean has Martin’s BBQ planned for the staff today. She chose a Master’s theme since the Master’s is this weekend. May 5th-9th is teacher appreciation week. She has planned Big Bad Breakfast, White Shepherd Coffee, Andy’s Frozen Custard, Burger Republic, and a gift card collection. 

 

  • Corporate Sponsors - Amy Martin and Julie Pfund created a thank you flyer with pictures of things the PTO has provided with their generosity.
  • Communications - Julie Pfund posted the lists of teacher favorites on the PTO website. 
  • Front Office/Badges - Charlena has no update.
  • Copy Room - There is a signup genius with dates to volunteer in the copy room.
  • Spiritwear/School Supplies - Julissa had nothing to report. School supply lists are finalized and the link to order supplies will go live soon.
  • Beautification - Katherine mentioned wanting a helper if new parents want to join PTO. The Thompson’s Station Church volunteered to do a campus clean up, and they did so much on the rainy day. They painted the KEVA and a bathroom wall. They brought a trailer load of mulch. They hauled off tree limbs to the dump. Katherine found a company to do new paint over each of the hallway wings that will match the design of the cafeteria. 
  • HMS Athletics - Julie Holt has nothing to report.
  • Concessions - Amanda is letting stuff sell out of the concession stand because the year is coming to an end. This year has been less wasteful than previous. There have been less things expiring as in the past.
  • Lost and Found - Nothing to report. 

 

 

New Business

  • The library is asking about having their books updated. They are mainly needing books about current events.
  • The gym received a cleaning by maintenance.
  • Coach Conors asked for help repairing the blowups he uses to fundraise during Fiesta de Hornets. 
  • The school will need a few volunteers to keep cars from parking in the car riders line on May 20th at 12:30 during the senior walk.
